Step 3: Profile Management

Once you have completed Steps 1 & 2 of eCaring Academy, proceed to enter the Staff & Clients Profiles

Academy 

Purpose

To ensure all staff are properly configured for scheduling, payroll, and compliance.

Who Should Complete This Step?

Administrators, HR, coordinators, and schedulers

Staff

    Steps:

    1. Review Staff-Facing Settings
    2. Add new staff members 
      • Enter Staff Profiles
      • Assign Pay Rates: all field staff will need services authorized and pay rates to schedule.

    Update staff status as needed (active/inactive)

    Best Practices:

    • Maintain consistent role-based permissions.
    • Regularly audit staff profiles for accuracy.
    • Document pay rate changes for payroll traceability.

     

    Clients

    Purpose:

    To set up and maintain accurate client records and care plans.

    Steps

    1. Review Client-Facing Settings
    2. Review Settings:
      1. Review the following articles:  Client Dashboard at a Glance,
        How to Add a New Client, How to Enter a Care Plan, How to Add Service Tasks, Client Notes & To Dos

         3.   Add client profile

    • Enter client demographics
    • Create the care plan
    • Add Service tasks
    • Use notes and to-do features for ongoing communication
    • Update client status as needed: How to Update a Client's Status

    Best Practices

    • Standardize task lists for consistency across clients
    • Keep care plans updated to reflect current needs
    • Use notes for audit trails and communication clarity
