eCaring Release 2504

At eCaring we strive to provide you with best in class solutions for your home care business, as part of our continuous development process, we wanted to notify you of updates we've released to the eCaring platform.

eCaring Release Notes

Updates to the Date Adjustment Feature
  • We've enhanced the Date Time Adjustment feature available on completed shifts to allow you to modify the Clock-in and Clock-out individually. Previously, you had to modify both punches. This will help to better preserve the actual values in the system, limit manual adjustments and improve your EVV reporting when applicable.

  • Verification in eCaring is intended to be the end of the care delivery process and the beginning of the financial process, therefore, like with other EVV methods and visit documentation requirements the "Date Adjustments" will be "locked" once a visit has been verified. If, after verifying a visit you need to make any adjustments, you will need to first un-verify the visit. Once verified, you can continue to make billing and payroll adjustments including overrides until the visit is billed or paid.

New warning message and Acknowledgement Requirement when verifying a future visit

  • When verifying visits, if you attempt to verify visits in the future eCaring will display a warning message with a checkbox to acknowledge that it includes future visits. This should prevent cases of accidentally verifying visits in the future which prevents your caregivers from clocking-in.

Updates to Payer Services and Billing Unit Rounding

  • We have standardized the Round Units available for selection when configuring a service for billing. The Unit type selected will determine what rounding options are available. Currently, the same Rounding Unit options are available, regardless of Unit type.

Bulk Download of Private Pay Invoices

  • After completing a billing batch, users can now download all Private Pay PDF invoices that are a part of that billing batch from the Batch History screen. You'll no longer have to go to each client's record to retrieve their invoice.

Enhancements to the Sick and Vacation Time Feature

  • We have further enhanced the configuration options for Sick and Vacation Time. You will now be able to determine if you want the system to allow payment only of Sick/Vacation, balance accruals only, or allow both pay and accrual for Sick and Vacation time.

  • We've made some enhancements to the visit cancellation feature. Now, when you select "Staff No Call No Show" or "Staff Vacation" users will be given the option to choose to create an open visit so the visit can be re-staffed without manually re-creating the visit.

Staff Assignment Updates

  • To make sure you always have the necessary information at your fingertips, we've added the "Staff Assignment" fields to the Client Profile Widget. You'll now be able to view the assigned Primary Scheduler and Primary Nurse directly on the client profile.

  • We've resolved a bug on the Staff and Client roster pages that prevented the "Staff Assignments" column from populating. You will now see the Primary Scheduler and Primary Nurse display (if assigned) and be able to filter and sort by this column.

New Options when updating Billing Rates for Payer Services

  • We've enhanced the ability to Back-date changes to you Payer Services and Rates. Currently, changes are only applied to past visits if they are not yet verified. We are adding an ADDITIONAL option for users when updating a service to apply the changes to past shifts that ARE verified but not yet paid, for organizations with Monthly billing cycles, this will allow you to impact more visits when making a back-dated change to a service.

New Billing Period Selection Options

  • When generating a billing batch, users can now select a start date and end date to include any visits that had a visit date within that range. Previously, users could only select an end date when generating a billing batch.

New Service Auditing Tool when managing Staff member "Authorized Services"

  • We've enhanced the "Services Authorized" feature for your caregivers. Now, if your agency attempts to remove a Service from the Caregiver's Profile the system will check to make sure that no future visits are scheduled for that service. If future visits are scheduled, you'll be prevented from removing them until those visits are either canceled or reassigned to another caregiver.

Improvements to the Quick Search Results

  • We've added the client's "City" to the search results available from the Search in the header bar. This should help you to better identify clients with similar names!

New Monthly Scheduling Feature

  • We've rebuilt the Monthly Recurrence scheduling feature. Previously, it was creating a visit on the selected day of the week every 4th week. This could create authorization conflicts over long periods of time. Now, when you'll choose the day of the week you'd like the visit to take place, choose "Monthly" from the recurring frequency and then choose from the drop down whether you'd like it to be the first, second, third or fourth time that day of the week occurs each month.

EVV Updates

  • We've made some updates to the "Reason Codes" mapping for SanData EVV integrations, this should allow all exception codes sent to SanData to properly match to the chosen value in eCaring.

Updates to how Canceled Visits are Displayed

  • We've made some updates to how canceled visits are displayed in eCaring. Now, when you click on a canceled visit, you'll see the "Shift Details" screen instead of the "Edit Shift" icon, we've added a status icon at top of the page that will display "Canceled" and if you hover over it with your mouse you'll see the cancellation reason.

Worker Registry Report Updates

  • We've resolved some display issues with the Worker Registry report. Now, you will see the "Legal Name" of the Staff Members assigned office (if you have multiple offices configured) in the "HC Agency Employer - Company Name" column. We also added the "Address 2" from the Staff profile as a field to the report and resolved a sorting issue on the date column. 

Bug Fixes

  • We fixed an issue that would cause Activity Records to show field labels in Spanish when viewed by the agency if a caregiver's device was set to Spanish when the Activity Record was created. Now, all field labels will display in English. Notes entered by the caregiver and other selections will display in the language in which they were entered..

  • We resolved an issue where downloading a pdf Activity Report of a visit in certain statuses would display an improperly formatted End Date and Time for the visit.

  • We fixed an issue with the "Reset Visit" feature that was preventing users from resetting visit if the pay amount or billing amount was $0. 

  • We fixed an issue where sometimes, when making scheduling changes, setting a visit to "Open" did not trigger the re-calculation of Travel Time for impacted shifts. In this situation, the visit would have been re-calculated when a new caregiver was assigned, but it will not be properly re-calculated when marked as "Open".

  • We resolved an issue where, if the client had multiple status changes with the SAME EFFECTIVE DATE, the status reflected on the Client Widget didn't show the most recent (last) change entered. For example, if you Deactivated a client inadvertently and then reactivated them with the same effective date, the client widget would display the first Status on that date, not the last.

  • We've updated the client Address management to prevent two addresses from simultaneously both being marked as "Primary" for a client. By default, if you enter an address on the client demographic screen, it will be marked as default. If you add an additional address from the "Addresses" tab and select the "Primary" option, it will become the Primary address and will also then display on the demographic page. The other address will still remain on the client's profile but will no longer reflect "Primary".

  • We resolved a bug on the "Visit" Reports where, when viewing the map related to that visit of the clock-in and out some shift details were not displaying correctly.
