New Features and Enhancements to Web Portal


Quick Search Enhancements

  • We've enhanced the "Quick Search" feature that is available in the top toolbar to include Staff and Client records that are NOT "Active". In the past, only active clients and staff would be returned in the Quick Search but not In Active profiles will also be returned.


"Remind Me" Notifications for Doc Types

  • We've implemented Reminders for Doc Types - when the user who adds a document to a staff or client record utilizes the "Remind Me" feature on the document, they will receive an in-app notification (at 9am on the date selected) AND an email reminder.


New "Doc Type" Category - "Supervision"

  • As part of our continued enhancements to our Doc Types functionality we've added a new Category called "Supervision" combined with other recently added fields it is now possible to create a Doc Type template for Supervisions that includes Expiration Dates, Reminders, and attachments for documentation.


Auto Logout Due to Inactivity Updates

  • Improved behavior with automatic logout due to inactivity. Users who have been inactive in eCaring for 20 minutes will be automatically logged out and will be redirected to the login page with a clear message stating the logout was due to inactivity.


Updates and Improvements to the Verification page and workflow!

  • In our continued efforts to promote transparency and operational efficiency throughout the "Verification" process, we've enhanced the Verification page with new columns to display: Visit Status, Pay hours and Bill hours. This should give you the information you need to determine whether a visit is ready to be verified WITHOUT having to open the Shift Details view!


New Business Rules and Logic for "Clocked In" Status

  • We've added new rules preventing certain modifications to visits based on their "Clocked In" status. If a visit has a valid clock-in, you will no longer be able to edit the date, start time, or staff. Additionally, you will not be able to move a visit that is "Clocked In" to "Cancel" or "Open". Additionally, you will no longer be able to verify these visits until they've been clocked out. This will enforce proper business rules to make sure that visits are not verified without first being "Completed".


Payroll Related Updates and Enhancements

  • We've updated the Payroll Preview page to not pre-load information. Now, you'll need to choose the pay period and click the "Preview Payroll" button to display your selected week. This will allow you to more quickly access the week you'd like to view.
  • We've updated the MassPay payroll extract to display the Bonus and Expense amounts in the "Dollars" column instead of the "Hours" column.
  • We've enhanced the "Generic Payroll" configuration tool to include another columns called "Amount" if you add the "Amount" column to your payroll export it will then map any Bonus or Expense items into this new column.
  • The ADP payroll export has been updated to round all numeric columns to 2 decimal places.


Updates to Client Invoices

  • Following up our recent release of client invoices, we've enhanced the "My Invoices" table on the client profile to include the "Payor" of the responsible invoice. This will make it easier to view identify invoices, especially if the client has multiple payors.


Support for Service Level Taxonomy Codes

  • As an enhancement to our payor functionality, we've added a new field called "Taxonomy" on the "Payor Services" screen, this will allow providers who have a multi-service line/location business to define the Taxonomy code associated with the payor's services. While we recommend providers immediately update their services configuration to include their taxonomy code, this field will not be included in the EDI file until our next release.


Exclusion Check Updates

  • We've unified the Exclusions checks between Reporting and the Staff profiles, this should now properly display the same results regardless of which method you use to check.


Activity Record Updates

  • Printed/PDF Activity Records have received several changes. Under "Visit Details" you'll now be able to see the Status, Scheduled Date/Time, Actual Date/Time, Clock-in Method, Service Name, Service Address, Tasks performed, and any comments made on tasks by the caregiver.


New Features and Enhancements to Mobile App


Event Driven Data Synchronization!

  • We've implemented event driven synchronization between the eCaring Mobile app for iOS and Android and the eCaring platform. This should prevent scenarios where staff do not see updates in their mobile app if they have unsubmitted activity logs or have forgotten to clock-out of a visit. The app will now automatically synch Shift Changes, Clock-In/Out Changes, New shifts, and Open shifts each time a Service Task is completed, Activities data is submitted, when the Mobile app is Opened or Refreshed OR every 15 minutes if the app is in use. We are VERY excited about the improved user experience this will deliver while maintaining the "offline" architecture of the eCaring App allowing your caregivers to clock-in and out in areas with poor cellular service.
  • In addition to the mobile app synchronization feature we've also introduced a new screen in the mobile app called "Offline Activities", this will allow a user to view any data that has NOT YET synched and force a manual sync between their eCaring mobile app and the eCaring platform.


Service Tasks and Comments Enhancements!

  • ADL/IADL Activity Tasks Update - we've introduced Task Comments for Activities completed in the mobile app, users will now have the ability to enter comments on all tasks that are displayed on the activity records, printed reports and in app. Tasks that are NOT completed will require a comment indicating why the task was not completed to be able to submit their activity notes and clock-out of a visit. This feature is compatible with the recently released manual clock-in/out feature of eCaring, if your agency has to clock a caregiver out of a shift, any documentation they've completed in the mobile app will be saved and shown on the activity record.
  • "About Client" notes and Client Profile pictures from eCaring are now shared with Caregiver
  • We've enhanced the mobile app to display the "About Client" notes from the eCaring portal instead of the placeholder text that was previously shown.
  • Client Profile pictures uploaded by the agency will now display in the Mobile app to the caregivers.


Staff Dashboard Updates!

  • The user dashboard in the mobile app has been updated to show the Scheduled/Completed Shifts and Scheduled/Completed hours for that user, for that week according to the tenant's configuration.


User Interface and Experience Improvements

  • We've made several improvements to the mobile app user interface to improve the user experience, these include: hiding the "Activities" section if the visit doesn't have any tasks defined, updates to icons to better convey the functionality to the user as well as improvements to the layout to prevent certain features from displaying correctly.


General Fixes and Improvements

  • We've fixed a bug in the eCaring Staff Mobile app for iOS and Android that would prevent the schedules of clients with missing birthdays from displaying in eCaring.
  • We've resolved a bug that was reported by users where authorizations that did NOT have the "Schedule Beyond Authorization" setting enabled were still allowing users to override the warning and schedule beyond authorized hours. In this release, all authorizations will now follow the payer's rules and if the feature is enabled they will get a warning with the option to proceed, and if disabled they will get a warning and will not be able to continue scheduling.
  • Reporting has been updated to include the Unit numbers in the "Address 2" column when added to client/staff reports.
  • We've fixed a bug on the Client Profile widget where it would sometimes display the prior status of the client instead of the current status.


Massachusetts EVV News


We continue to closely monitor official channels for new information and timelines for the Massachusetts EVV implementation. For eCaring users, once available you will need to submit an "Alt EVV vendor request" to SanData so that credentials can be issues allowing eCaring to submit your EVV data on your behalf.

We encourage all agencies to please share all information you receive regarding EVV in Massachusetts with eCaring. At this time, the latest information that we have indicates an October timeline for testing with a goal to be live by the end of the year.

We are hard at work building out great functionality in eCaring that will allow you to easily configure, automatically submit, and continuously monitor the status of your EVV data and we look forward to sharing that functionality with you over the course of our next few releases.
