New Messaging Features!

New SMS interface

Threaded Messaging Display and New Messaging Screen on Profiles

  • We're excited to announce our new threaded messaging view, making communication with staff and clients more intuitive and organized. Now when you click the "Action" or "SMS" button from any messaging screen, you'll see the complete conversation history displayed chronologically, with office messages aligned right (blue) and client/caregiver messages aligned left (white). The system automatically highlights unread messages and scrolls to the most recent unread message for quick review. You can view the full context of each exchange, including sender information, message content, and delivery status. This enhancement streamlines communication workflows and ensures important messages don't get overlooked in busy conversation threads.

  • Messages for clients and staff have been moved from the "Notes & To Dos" to the primary menu next to Activities for quicker access to historical messages between the office and them.

New Calendar Enhancements to View Authorizations and their Usage

  • We've upgraded the calendar view with new authorization tracking features that display weekly and bi-weekly authorizations as spanning bars showing payer code, service code, hours used/total, and frequency, while other authorization types appear in a compact format at the top of your calendar. The system now calculates remaining hours in real-time as schedules change, and clicking any authorization opens a detailed modal showing complete information including authorization details, valid period, hour breakdowns (authorized, completed, scheduled, remaining), and quick edit access - all designed to help your team stay within authorization limits while making scheduling more efficient

Shift Override Notes

Managing Agency Settings and Adding Shift Override Notes

  • We've added a new feature to eCaring to allow you to enforce documentation requirements related to Billing and Payroll overrides on a visit. When adding an override to a visit from the "Shift Details" screen (clicking "Save"), users, depending on your agency setting, will be prompted to enter a note to document the reason for the override. You'll be able to determine whether this feature is on or off, if turned on, you'll be able to control whether it's optional or required to enter a note. We've also added the ability to hover over the "Override" icon at the top of the shift details page and display the override note.  Additionally, these notes will also be displayed in the associated client and caregiver's Notes section.

    • The setting to control this feature can be found under "System" -> "Financial" settings -> "Shift Details Override Note". By default, the setting will be set to "Enabled but not required".

Enhancements to Staff Status Change management

  • You now have the ability to cancel a pending staff status change. For example, if you set a future date for a Suspended status, you will be able to cancel the pending status change. This feature will work consistently with client status changes.

Updates to Staff Pay Rate Management

  • When updating a Staff Pay Rate, users can now select "Apply only to Unverified visits on the Effective Date and forward" or "Apply to any Unpaid visits on the Effective Date and forward, regardless of Verification status".

New Bulk Staff Assignment when CREATING a new Recurring Schedule! 

  • When creating a new Recurrence from the Client Schedule or Authorization screen, in addition to selecting multiple days, you can now search and add Staff to assign to those days. Previously, you could create the recurring visits but then had to assign the staff to each recurring day individually.

Enhancements to the Fraud Exclusions Reporting Tool

  • We've enhanced our Fraud Exclusions reporting interface with several user-requested improvements to streamline your workflow. You can now download PDF versions of individual reports and historical reports, directly from the grid view with a new "Download" action button for each row. Additionally, we've cleaned up the interface by hiding the ID column, which was only used for background processes. These changes make report management more efficient while maintaining all the powerful functionality you rely on.

Update to Notes Functionality

  • When adding a Note to a Staff profile, users can now associate that Note to a Client, which will also add a copy of that same note to the associated Client's profile

Bug Fixes

  • We have addressed a bug with EVV when the error message response was "ERROR: The ReasonCode value is incorrect". This was related to back-to-back visits where the first shift had a manual clock-in.

  • We have addressed an issue when using the Staff Search functionality from the Edit Shift screen where the mileage wasn't displaying the mileage correctly.

  • We have addressed a bug where, in rare scenarios, when updating an authorization it was incorrectly calculating scheduled hours, preventing you from resolving the maximum hour conflicts if the calculation exceeded the maximum authorized hours.

  • We resolved an issue where differentials for overnight shifts were not properly applied in the payroll exports.

  • We've addressed a bug where certain payroll exports were not respecting the rounding value from the Payroll Configurator.

  • If a visit is marked as Non-Payable AND Non-Billable, the Save & Verify button within Shift Details will not be selectable.

  • We have addressed an issue where the second line of a street address or long comments were not properly displayed on an activity report.

  • We've addressed a bug that was causing the Sick Time Paid and Vacation Time Paid values to be incorrect within Reports > Staff.

  • We've addressed a bug where deleting all the visits in a recurrence still listed the series on the Recurring tab. If all visits in a recurrence are deleted, the series will no longer display on the Recurring tab.

  • We've addressed a bug where Non-Payable visits were still reflected under Pay Hours within the Verification Summary Table.

  • We've fixed a bug where the Reference Date in the Notes grid doesn't match the Reference Date in the Note after editing. Now, when you enter a Reference Date in a Note, the grid will reflect that date.

  • We've addressed an issue where the Client Status was not displaying on the Client Roster page. Also, if a user enters a Client Status change without an effective date, the system will no longer be stuck "processing" but will now provide an error message immediately.

  • We addressed a bug where in rare situations when accessing the "Notes & To Dos" section of a client or staff, there would be a "Pending" row of data.

  • We have addressed an issue when an open shift is reassigned that you were not able to manually clock into the shift without exiting the Edit Shift modal first.
