Updates to the eCaring Platform released July 23, 2026.
eCaring Release Notes
Thank you for using eCaring! This release introduces new capabilities, improves several core workflows, and delivers numerous enhancements across Scheduling, Billing, Payroll, Reporting, Staff Management, and Electronic Visit Verification (EVV). Many of these improvements were driven directly by customer feedback and are designed to make day-to-day operations faster, more reliable, and easier to manage.
Several of these items have been released over the last few weeks in incremental updates. The other items were released today.
🆕 New Capabilities
Multiple Private Pay Payors
Organizations can now configure multiple Private Pay payors within eCaring.
Previously, agencies were limited to a single default Private Pay payor. With this enhancement, any payor configured with the Private Pay payor type can function as a Private Pay payor, allowing agencies to support multiple billing workflows simultaneously.

- Configure multiple private pay programs.
- Support different billing cycles and billing frequencies.
- Create separate billing exports.
- Associate clients with different private pay organizations or offices.
- Better support organizations operating multiple business entities or service lines.
Configuration Note
Any Payor configured with the Private Pay payor type will automatically participate in this functionality.
Paycom Payroll Export
eCaring now supports the native Paycom Payroll Export format.
Organizations using Paycom can export payroll information directly from eCaring using Paycom's supported import structure, reducing manual processing and simplifying payroll administration.

⚡ Scheduling & Workforce Improvements
Improved Staff Status Management
We've significantly enhanced how eCaring manages staff lifecycle events.
When a staff member is updated to Inactive, eCaring now automatically manages their future schedule.
Improvements include
- Future scheduled visits automatically move to Open.
- Future effective dates are supported.
- Cancelled, Completed, and Missed visits remain unchanged.
- Recurring visits become Open Recurrence.
- One-time visits become Open Fill-In.
These enhancements help schedulers quickly identify shifts requiring coverage while preserving historical visit information.
Staff Termination Workflow Improvements
Termination information can now be maintained more easily.
Termination Date and Termination Reason are now editable directly from the Staff Job Details page after a caregiver has been terminated.
This simplifies record maintenance without affecting the original status change history.
Client Schedule Improvements
The Client Schedule page has been updated to improve usability.
Enhancements include:
- Client selection dropdown.
- Coordinators automatically default to their assigned clients.
- Option to display all clients.
- Improved map links that correctly open client addresses.
These updates reduce navigation time for scheduling staff.
Staff Schedule Improvements
The Staff Schedule page has also been enhanced. https://app.ecaring.com/v2/schedule -> "Staff"
Users can now:
- Quickly locate caregivers using a staff dropdown.
- View primary phone numbers directly from the scheduling page.
- Edit caregiver information from the same screen.
These improvements reduce clicks and make it easier to coordinate schedules throughout the day.
Authorization Enforcement
Scheduling now performs stronger authorization validation.
If editing a visit would move it outside the authorization period, the visit can no longer be saved by selecting Proceed Anyway.
This helps prevent visits from being scheduled outside authorized service dates.
Low Margin Scheduling Enhancements
Low Margin reporting has become more configurable.
Administrators can now define the organization's default gross margin percentage used when reviewing Low Margin schedules.

💰 Billing Improvements
Faster Billing History
The Billing History page has been redesigned to improve performance.
Historical billing records now load significantly faster while still allowing users to filter by completion date and payor when reviewing previous billing activity.
Organizations with large billing histories should experience noticeably faster page load times.
Billing Reliability Improvements
Several enhancements improve billing accuracy and reliability, including:
- Improved billing unit calculations.
- Improved handling of updated visit units before billing.
- Better physician validation when generating billing batches.
- Additional validation to help ensure billing information reflects the latest visit data.
These improvements help reduce billing interruptions while improving confidence in exported billing information.
💵 Payroll Improvements
Faster Payroll History
Payroll History has been optimized for performance.
Historical payroll records now load much more efficiently while maintaining filtering capabilities and historical reporting functionality.
Organizations with large payroll histories should notice substantially improved responsiveness.
📋 Reporting Improvements
More Flexible Activity Reports
Activity Reports now include several new download options.
Administrators can now choose to:
- Include Visit Summary Notes.
- Include both completed and incomplete tasks (when enabled).
- Hide Scheduled Time from printed reports while displaying Official Time only.
These options allow agencies to tailor Activity Reports for internal documentation, audits, and customer requirements.
🔗 Electronic Visit Verification (EVV)
We've continued improving EVV reliability across multiple supported aggregators and state implementations.
Customer-facing improvements include:
- Updated HHAexchange Illinois client qualifier logic based on payer requirements.
- Improved processing for Netsmart EVV updates after billing.
- Better handling of back-to-back visits.
- Additional reliability improvements for supported EVV integrations.
These updates improve submission accuracy and reduce manual intervention when processing EVV visits.
✅ Reliability & Workflow Improvements
In addition to the major enhancements above, this release includes numerous reliability improvements throughout eCaring.
Highlights include:
- Improved recurring schedule processing.
- Better synchronization after cancelling In Progress visits.
- Improved Verification filtering accuracy.
- Better SMS opt-in handling when recipients reply using supported keywords.
- Additional scheduling and workflow refinements.
- Numerous behind-the-scenes performance improvements.
While many of these changes are not immediately visible, they improve the overall stability and consistency of the platform.
