Enhancements to the Scheduling User Experience and Views

With this release we've made several improvements to the Client and Staff Scheduling views including the Calendar view and the Grid view.

  • Visits will now show their approved times when In-Progress or Complete - previously they always showed their scheduled times regardless of status.
  • The "Duration" of the visit will be displayed on the calendar in (parenthesis) next to the times. When complete, this will also show the approved duration of the visit.

We've also implemented a number of new features to the "Pop-up" on the Calendar. All Visit statuses will have a Pop-up displaying important information, not just "Scheduled" and "Overdue".

  • "Complete" visits will now have a Pop-up displaying the scheduled times, approved times and duration.
  • "Canceled" visits will now have a Pop-up with important details including Cancellation reason and Bill/Pay status.
  • The Pop-up will now display the Scheduled Times, Approved Times, and duration.
  • Bill/Pay Status is indicated on the Pop-up, you can now easily see whether the visit is Billable and Payable.

Enhancements to Text Messaging Experience

We have implemented a new messaging inbox that is available from all pages within eCaring. You'll now see a new chat icon on the toolbar next to the system Notifications. Clicking this will allow you to view and reply to inbound messages without losing what you're currently doing. You'll also see a notification counter for unread messages.

"Direct Messages" are associated with the Staff member that last sent a message to that number, if it was in the last 3 days.

"All Message" allows you to view conversations between the office staff and Clients/Caregivers across the entire office.

This will help your teams better manage incoming messages with quick access and clear indication of Unread messages.

Additionally, in this release we now support emojis and reactions.


Shift Details with EVV status-1

Enhancements to EVV in eCaring

This release includes a number of updates and enhancements to the EVV experience in eCaring.

  • Improved the EVV Verification grid to display clearer instructions. We've also added additional instructions for some errors.

  • We've added a new Status badge to the shift details screen to display the EVV status of a visit when applicable. You'll now be able to see whether the visit's status in your EVV aggregator is Pending, Accepted, or Rejected.
  • Updates to the Ohio Sandata configuration
  • We have added the ability to include EVV Task IDs into service tasks for states that require transmission of task completions to their respective EVV aggregators.
  • In certain situations, a specific visit may not be applicable to send to EVV. We have added a feature where you can manually remove that visit from the EVV rejections.
  • When reviewing errors on the EVV Verification screen, you will now be able to quickly access the page in eCaring required to correct the error.

Support for 837i Claims

This release includes a number of new features to support 837i Claims in the EDI format.

  • Client authorizations now have a field called "Admission Date" that allows you to enter the admission date for a given payer to support EDI billing. This value is mapped to the Admission Date segment in your 837i claims.

  • Place of Service - 837i claims will have a default place of service value of "12" for "Home". However, you can enter a place of service on the Payor → Billing Settings screen to identify the applicable place of service for your billing need.
  • Revenue Code is now available in Payor → Services and will be properly mapped to the 837i file. 

Fixes and Updates

In addition to the new features above, we've made a number of other enhancements to eCaring.

  • We've aligned the Client and Staff Activities pages available on profiles to the Agency "Activities" page. This allows you to now view, edit, download and print activities directly from a client or staff profile. 

  • We've made a number of requested updates to the Staff Roster page including:

    • Added the "City" from the Staff's address into a new column.

    • We've implemented the "Columns" feature on the far right to allow users to show/hide columns and we've set the "Hire Date" column to be hidden by default.

    • We've hidden default services in the Service's column and we've optimized the Languages column.

  • Addressed an issue when creating a staff with a backdated status getting stuck in a pending status.
  • We've updated the sorting logic for payroll preview and history grids to sort by Caregiver Name alphabetically. This will also allow caregivers receiving pay for multiple periods to appear together in the grids.
  • Addressed a bug where in rare situations the message threading would display out of chronological order.
  • We resolved a bug where cancelling a pending Client Status reactivation and scheduling a new activation date could result in recurrences not properly extending beyond a certain point.
  • Addressed an issue where if a client or staff member had more than one mobile phone, then that number wouldn't appear as an option when trying to send a new text message from the eCaring platform.
  • The IVR system will now support scenarios where the same number is associated with multiple clients. When the caregiver calls, the IVR system will ask the caregiver which client they are clocking in or out for.
  • We've added a new notification that informs you when a visit is marked as "follow-up required" from your staff. This will allow you to address any client concerns as possible.
