🚀 New Features & Enhancements

Enhancements to "Visits" Report in the eCaring Reporting Module

  • Within Reports > Visits, the GPS In and GPS Out filters now give the option to select True, False, or Blank. When exporting this data to Excel, you will also now see True, False, or Blank which will improve reporting abilities by making the data filterable.

  • All eCaring Clock-In and Clock-Out methods will now display in the reporting columns. Previously, only a limited selection was available, you'll now be able to view IVR, Mobile, Manual and have the ability to sort, filter and group by these values in reporting.
  • New Reporting Columns are available to show whether or not Activity records associated with a visit were signed by the Client and Caregiver. 
  • Task Completion Columns are also now available in the visits report. Previously, it was only possible to view the task completion % on the Activities page.

Enhancements to the Verification Page

  • We've added many of the same fields from reporting to the Verification page, our goal is to give you all of the information you need to determine whether a visit can be verified in one place. In this release we've made the following updates available by selecting them from the "Optional" columns menu on the right side of the Verification page:

    • New "Verified by" column - previously only available in the Visits Report, you can now view who verified a visit within verification, this will allow you to easily see whether a visit met your organization's business rules for auto-verification OR, if it was manually verified by your staff.
    • Task Adherence values are now available in verification, you can easily view the % of tasks that were assigned to a visit that were completed, this will allow you to easily identify visits that could cause billing issues.
    • Client Signature status - we've added the same column from Visit Reports mentioned above to verification.
  • The "Activities" column in Verification will now open the Activities Report EDITOR instead of the Viewer, this will allow you to make any updates or adjustments required without ever leaving the Verification page.
  • What's next? We plan to release a way for users to choose their preferred columns for Verification. There is a LOT of information available here and we know that different roles need to see different information.

Activity Reports Enhancements

  • We've made a number of user requested changes to the Activities page and Activity Records in eCaring, while we plan to eventually offer agencies individual control over their Activity Record formatting, these changes will address the most common requests we receive.

    • Task Times will be hidden by default on downloaded/printed Activity Reports. Times are still preserved in the system, so if you are in a state with EVV requirements rest easy.
    • If a Caregiver is unable to obtain a client's signature during the course of the visit, the reason they enter in the eCaring Staff Mobile app will now be displayed on the downloaded/printed Activity Report as well as in the eCaring viewer.
    • We've updated Activity Reports to display the times used for Billing, this will align the Activity Reports with your invoiced times. A few things to know: 
      • When the Bill Basis = "Electronic" you will see the Electronic Clock-in and Clock-Out time displayed on the Activity Record (this is what is displayed historically).
      • When the Bill Basis = "Override" the times entered in the Date Adjustment fields in Shift Details will be displayed. If only the Clock-in or Clock-out time is adjusted, the electronic time will be displayed for the other value.
      • When the Bill Basis = "Scheduled" the Scheduled times of the visit will be displayed. For organizations with broad rules around Auto-Verification that configure eCaring to Bill to "Scheduled" time in the event of an overage, this is a great time to review your settings!
  • Additionally, we've made a number of improvements to the "Activities" page itself, including: 
    • Pagination to load additional records
    • Sorting and Filtering across all pages of results
    • Clock-In and Out Methods are now displayed
    • Clock-In and Out times are also displayed

Notifications and Other Updates

  • We've made a few improvements to notifications in this release - we know you're most successful when your team is focused on their most important work. So, we are working to tailor notifications to be more targeted.

    • Only users with Payroll Access will see Payroll related notifications in their dashboard.
    • Only users with Billing Access will see Billing related notifications in their dashboard.
  • New "Expiring Authorization" notification
    • We've added a new notification that informs you when an authorization is expiring, so you can stay ahead of any changes or create a new authorization when necessary. The notification will be triggered automatically by the system, 7-days prior to an authorization expiring. Only users assigned to the client's home office with permissions to view and edit authorizations will receive the notification.

Fixes and Updates

Updates to Payrate Changes

  • We have addressed a scenario where if a user runs a payroll preview PRIOR to updating a Staff Pay Rate and selecting "Apply to Unpaid visits after the Effective Date, regardless of Verification status" the pay rate would not update for visits included in the pending payroll batch.

Missing Visits from EVV Screen

  • Earlier this week we resolved an issue where, depending on when an authorization was last edited, or if a Service was configured for EVV when the Payer was not, it could cause EVV visits to not be sent to your aggregator. We resolved that by adding an additional check and we will queue and send past visits in the coming days. Please make sure you are monitoring your EVV Dashboard in eCaring for Status notifications.

Improved EVV Error Messaging

  • We've updated the messages displayed in Shift Details and on the EVV Dashboard to "Translate" from the Aggregator error message to a friendlier message to help users better understand the error, we are also including steps you should take in eCaring for a given reason to remediate it.
