How to Verify Visits

Review how to verify visits for processing payroll.

The Verification process can be completed on the visit shift details page or from the Verification Page.

To verify a shift from Shift Details

Select the Edit icon on the completed shift on the calendar or Shift Monitor dashboard.



  •  Review the shift details for accuracy.  If changes are needed, make corrections
  • Select Save & Verify

To Verify Shifts from the Verification Page

Navigate to this page by clicking Verification in the menu bar. 

You will automatically view the current week. 

Utilize the filtering menus to view the visits you wish to verify.

Date: Select the weekending date of the week you wish to view. *Required

Client: If you'd like to view only specific client(s), you can enter their name here. Multiple clients can be selected. *Optional

Staff: If you'd like to view only specific staff, you can enter their name here. Multiple staff can be selected. *Optional

Status: Select shifts to view by status. The options are Billed, Paid, Unverified, Verified. Multiple statuses can be selected. *Optional

Office:  If you have multiple offices, you can select the office in which you would like to view

Primary Scheduler: Select the Primary Scheduler associated with the shifts to review

Payor: If you would like to focus on verifying shifts by a specific payor, select the payor from the drop-down menu

Duration:  Select shifts to view by duration. The options are Over, Scheduled, and Under. Multiple statuses can be selected. *Optional

Once you've selected your filters click the Filter button.

*Reset will reset all filters to original state.

Below is an example of filters applied to the verification table.

The grid in the right hand corner provides you with the verification grid summarized. The grid will always reflect the filters you have selected. 

This grid shows the number of hours that are verified and unverified within the selected filters. 

To Verify Shift Activity 

If you would like to review the shift activity prior to verify, select on the icon in the Activity Column 

The activity view will allow you to see visit details.

If changes to the shift are needed, select the Pencil Icon in the Actions Column 



After making changes, select Save or Save & Verify.  You may receive a prompt to make a note depending on your agency's settings.

Enter the change details and select Save

To Verify Multiple Shifts

To verify multiple shifts, you may select one or more individual shifts by checking off the left-hand box. 

Or, you may select all shifts listed by checking the very top box in the left-hand row.

Once you have selected the shifts you wish to verify, click Verify Selected.

 

To confirm the visits are verified, review the Status columns to the right hand side.

Column C = Complete; the green check will appear once the shift is completed via the mobile app (this applies only to caregivers who clock in and out via the mobile app)

Column V = Verified; the green check mark will appear to confirm that these shifts have been verified and will be processed with the next payroll

Column P = Paid, the green check mark will appear once the visit(s) have been processed for payroll

Column B = Billed, the green check mark will appear once the visit(s) have been processed for billing

To unverify any visits, select the visits using the check boxes and click Unverify Selected. You will be prompted to confirm the change.
