How to Add Authorizations & Recurring Schedule

Adding an authorization to a client profile is necessary for scheduling and processing billing for insurance or private pay clients. Without authorizations in the system, you will not be able to schedule shifts.

To add an authorization to a client profile, first login in to your eCaring Dashboard. 

Next, navigate to the client you wish to add an authorization for. This can be done by clicking "Clients," 

This will bring you to your list of clients, select the desired client for whom you'd like to add the new authorization.

Select Authorizations from the client menu bar.

This will bring you to the Authorizations page. 

On the right-hand side click Add New. 

In the pop up window labeled New Authorization fill in the information related to the new authorization. You should fill in as much information as possible, however below is the recommended minimum information to be added. 

Select and enter the following:

  1. Payor information
  2. The service the client will be receiving
  3. The start date of the authorization
  4. The amount of hours and frequency the service will be provided

Once the information is entered, click Save and Continue 

You will then be prompted to enter a recurring schedule.  

*If you do not wish to add a schedule, click Cancel in the Add Recurring Schedule window.

Once you add a recurring schedule OR click cancel to skip adding a schedule you will see the new authorization added to the authorizations list. Once you are ready to add a schedule to the authorization click Add Recurrence

Add Recurring Schedule enables you to enter the schedule immediately after creating the authorization.

1. Enter the start date of the new schedule. If you entered an end date for the authorization, you must enter an end date matching or less than the end date of the auth. Enter the start time and number of hours for each shift.

2. Select the days the shifts will occur. 

3. Select the Staff member who will be completing the visits

Entering this new recurrence is not permanent, you can always make long-term or one time changes under scheduling. 

Click Save once complete. 

To view your new schedule, select Schedule from your client's menu bar.

From this page you edit the shifts, add staff, change days and times.
