Updates and Enhancements to the eCaring Platform

eCaring Platform Release Notes

This release includes improvements across Billing, EVV, Messaging, Notifications, Reporting, Scheduling, and overall platform usability. Several updates address workflow edge cases, improve system reliability, and enhance visibility for administrators.


Authorization

  • Cancelled visits that are billable will now correctly count toward authorization usage calculations. This ensures authorization utilization accurately reflects all billable activity.


Billing

  • Billing logic has been updated so that cancelled-but-billable visits count toward authorization utilization.

  • Invoice file naming conventions have been updated to use the Invoice Number, improving consistency and making reconciliation easier for organizations managing billing exports.

  • Payroll Basis and Billing Basis logic has been minimally refactored to prevent edge case scenarios where billing and payroll calculations could become inconsistent.


Payroll

  • Payroll workflows have been updated so that Preview Payroll and Run Payroll actions are locked until the payroll job has fully processed. This prevents users from accidentally triggering multiple payroll runs simultaneously.

  • Improvements were also made to how payroll and billing configuration logic interact to avoid edge case inconsistencies.


Business Rules & Tenant Settings

  • Mileage reimbursement rates now support up to three decimal places. This allows organizations to configure more precise mileage reimbursement values where required.


Electronic Visit Verification (EVV)

  • EVV processing has been improved to prevent visits from being re-sent to EVV systems when the payload has not changed.

  • The EVV Monitor has been enhanced to dynamically account for changes in payors and services.

  • Disabled EVV services will no longer send visit data through EVV integrations.

  • Additional EVV Monitor improvements provide clearer visibility into visit verification statuses.

  • Resolved an issue where visits could be incorrectly flagged for EVV processing.

  • Fixed an issue where manual EVV verification statuses could reset unexpectedly.

  • EVV workflows now better detect updates to EVV-related client fields.

  • Additional safeguards have been added to improve the stability of EVV processing.


Messaging

  • Incoming SMS messages are now consistently displayed within the correct messaging thread.

  • Care circle members now appear properly in SMS messaging threads associated with a client.

  • Caregivers will automatically receive a welcome SMS message when they are added or when their messaging opt-out status changes.

  • Additional improvements were made to increase reliability of SMS message delivery and processing.

  • Messaging thread handling has been improved to ensure message conversations remain consistent.

  • Additional stability improvements were implemented for messaging workflows.


Notifications

  • Organizations can now configure which user roles receive specific notifications.

  • Notification caching has been improved so that outdated notifications are cleared when late visits are edited or rescheduled.

  • Missed clock-out notifications now trigger correctly for administrator users.

  • Missed clock-in notifications have been improved to ensure they are triggered reliably.

  • The Notifications Dashboard has been enhanced to improve visibility and usability.

  • Important alerts can now appear as pop-up notifications within the platform.

  • Administrative notification configuration settings have been improved.

  • Additional backend improvements were made to notification processing to increase reliability.


Reporting

  • A new Staff Pay Report has been introduced to allow organizations to review staff pay rate information.

  • A new Notes Report has been added to help administrators track documentation entries related to clients and caregivers.

  • Resolved an issue where saved reports could fail to load due to a grid rendering error.

  • Filtering behavior across reports has been improved to increase reliability.

  • The Activity Report pdf template has been improved.


Scheduling

  • Resolved an issue where eCaring's scheduling job could recreate shifts that had certain manual edits.

  • Scheduling conflict detection logic has been improved to better identify potential conflicts.


Services

  • Service configuration has been updated to prevent users from selecting "SYSSVC" as a parent service, reducing the risk of configuration errors.

  • Service configuration settings for TT and CTCM exclusions have been simplified to make service management easier.


Staff

  • Improvements were made to the Desired Hours functionality for staff to better support availability preferences and caregiver utilization, a key driver in staff retention.

  • Agencies can now set a Default value as well as update all existing staff under "System" -> "Staff.

Platform

  • Audit logging capabilities have been enhanced to provide improved tracking of visit edits, click the menu icon on "Shift Details" to view the improved audit log.

  • Resolved an issue where payroll-related email notifications could generate an error message.


User Experience

  • The responsiveness of top-level navigation menus has been improved so they adapt more effectively to different browser widths and screen sizes.
