eCaring Release Announcement

At eCaring we strive to provide you with best in class solutions for your home care business, as part of our continuous development process, we wanted to notify you that the changes we recently communicated have now been deployed to production.

We hope you find these features valuable and our team looks forward to bringing you additional Features and Enhancements in future releases.

Payor EVV Configuration-1

EVV Configuration Fields for Aggregator Integrations

As we approach EVV aggregator submissions we are releasing additional configuration fields for EVV data submission

  • We have added additional fields to the Payor Service field to support EVV aggregators. The new fields include Payor Program, Procedure Code, Qualifiers for 24i and 24j, and up to four Modifiers.
  • Additionally, we've added other EVV related functionality and fields that you may notice throughout the application over the last few releases. We will provide additional information as our various states go-live in the coming weeks.

Additional New Features and Enhancements

Applying a Date Adjustment to a visit without EVV data will update the status to "Complete"

  • We've added new logic to complement last release's enhancement so that if you add a "Date Adjustment" to a visit with no clock-in our clock-out the status of the visit will now update to "Complete" instead of remaining in the prior "Overdue" or "Scheduled" status.

Bill Unit Updates

  • We've updated the logic in eCaring that updates the Billing Units and Bill Hours to run each time a visit is saved as long as the status is "Complete" or "Verified". Previously this was only updated when a visit was Verified or when Billing was run. This will keep the new fields we recently added updated throughout your management and financial processes.

  • When the "Shift Details" screen is saved, or the status of a visit changes to Complete or Verified, the Bill Units will properly respect rounding rules set by the Payor Service settings.

  • We have implemented consistent terminology and respected "Bill Units" throughout the platform. For example, changes to the Verification screen will reflect "Bill Units" instead of "Bill Hours" and you can expect to see the same terminology and quantity applied on the billing screen, visit reports, billing extracts and invoices. 

  • We fixed a DISPLAY issue on the Verification screen which in certain configurations could cause the Bill Units to display incorrectly in the grid. 

Client Invoice Updates

  • We fixed an issue causing an invalid date/time for certain visits with "overrides" on the downloadable PDF.

Scheduling Updates

  • We've re-implemented the "Drag and Drop" scheduling feature on the recently updated Calendar views!

  • We've fixed the date picker on the recently updated calendar views, in certain use cases there was a display issue where toggling to different views wouldn't update the date shown in the date picker.

Verification Workflow Updates

  • As an enhancement to our recently released Verification workflow changes, we've added a new feature where "Un-verifying" a visit will reset the visit to it's Prior Status. This primarily impacts agencies who are NOT using EVV and relying on paper timesheets or in the event that a visit was inadvertently verified BEFORE it's scheduled completion.

Client Status Changes Now Recalculates Expected Travel Time

  • We've added a new feature to allow the system to re-calculate the expected mileage for travel between scheduled shifts when a client's status is changed. This means that when you re-activate a client, you should see the estimated mileage and travel time associated with their scheduled visits updated in the system.

837i EDI File Improvements

  • We've fixed a bug in the recently added 837i EDI format that was causing Services to populate in the wrong field due to a missing Revenue Code field.

Improved Messages when a Billing Batch has an error

  • Billing batches can fail to generate due to missing required fields (like Date of Birth, etc) or other issues, we've improved the error messages to provide better details as to why the batch failed to generate.

Reporting Enhancements

  • Within Reports > Visits, users can view Scheduled Duration and Actual Duration. However, the approved amount for a visit may differ from these two values, so we are adding Approved Pay Hours and Approved Bill Amount to Reports > Visits.

  • Within the Reports tool, users often like to filter by Primary Scheduler or Primary Nurse. However, not all Reports include these fields. Primary Scheduler and Primary Nurse will now be available as selectable fields within all Reports.

Enhancements to Doc Type Status and Completed Date

  • We have made some improvements to Staff > Certifications & Documents. Items can now be marked as Complete or saved to reflect that it is In Progress. Once Completed, the Completed Date will be reflected in the grid so you do not have to open the item to view the completion date.

Massachusetts EVV News

We continue to closely monitor official channels for new information and timelines for the Massachusetts EVV implementation.

The State has gone live with their "Soft Launch" of EVV effective today. Providers must complete the Sandata Provider Portal registration by December 9, 2024 and declare their intent to use the state provided system or an Alt-EVV system, Sandata Provider Self-Registration Portal 

We are hard at work building out great functionality in eCaring that will allow you to easily configure, automatically submit, and continuously monitor the status of your EVV data and we look forward to sharing that functionality with you over the course of our next few releases.
